Manual vs. AI-Assisted Expense Tracking: What Actually Works
Manual entry and AI assistance are usually presented as a choice. In practice, Pludo Ledger treats them as three coexisting workflows that you can move between depending on the task in front of you.

Three ways to add a transaction
- Manual entry: type the transaction yourself and control every field from the start
- AI receipt scanning: attach a receipt image and let Plu prepare the details for review
- AI conversational actions: describe the record or ask a question in plain language and let Plu prepare a supported entry or budget change
None of these is the "right" way to use the app. They are different trade-offs between speed and direct control, and most people end up using more than one depending on the situation.
Manual entry: full control, more typing
Manual expense tracking means you create the accounts or payment methods you want to track, record income, expenses, and transfers as they happen or during a regular review, and assign the categories that make your budgets and reports useful. This works well for cash purchases, accounts a bank cannot see, or anyone who simply wants to decide exactly what enters the record. Learn more about manual expense tracking
The trade-off is straightforward: a manual expense tracker is only as complete as the records you actually enter. Pludo Ledger does not automatically import bank transactions, so consistency matters more than speed here.
AI receipt scanning: less typing, more reviewing
AI receipt scanning is designed to reduce manual typing, not to create an unreviewed financial record for you. You attach a receipt image and ask Plu to prepare details such as the merchant, line items, amount, date, and a suggested category, then decide what to keep before saving.
How does AI receipt scanning work?
- Attach or share a receipt image with Plu
- The image, your prompt, and the relevant financial context for that request are sent to Pludo Ledger's authenticated AI service, which needs a network connection
- Plu prepares merchant, line items, amount, date, and a suggested category from the image
- Review each field against the original receipt, since images can be unclear and AI can make mistakes
- Save the expense as prepared, edit any field first, or discard it and enter the expense manually instead
Every prepared field remains editable before saving, and the resulting transaction can also be reopened afterward in the manual workspace if something needs another look. See how receipt scanning and review work
AI conversational actions: ask instead of navigate
Beyond receipts, Plu can work with the financial context you select to answer spending questions, add supported transactions, or help set up and adjust a budget from a plain-language request. Destructive changes require confirmation, and because AI can be incomplete or wrong, prepared records and conclusions should be checked before you rely on them.
Which workflow actually works for you
A practical pattern is to use manual entry for the accounts and habits you already track closely, AI receipt scanning for paper or digital receipts you would rather not retype, and conversational actions for quick questions or budget adjustments when you already know what you want. Explore every Pludo Ledger feature to see how the three fit into one workspace.
AI can make mistakes. Whichever workflow you use, review the categories, amounts, and dates before treating a record as final.
